Ineligible for Store and Forward

WHAT IS HAPPENING?

Georgia Tech is implementing stronger security standards for email in effort to safeguard protected information. Systematic forwarding of emails to third party personal mailboxes such as Gmail or Yahoo, is no longer available to employees.

WHY IS THIS HAPPENING?

This change in service is due to an incident that occurred involving the disclosure of export restricted data. The disclosure of the data resulted in a US Department of Defense investigation that raised concerns around our support for use of third party email services.

The Georgia Tech Data Access policy (https://b.gatech.edu/DAP) states that "Data Users must use official Georgia Tech email services when emailing Category III data. Using third party email services (e.g. Gmail, Hotmail, Yahoo Mail) to send or store Category III data is prohibited." This means even basic conversations with students performed with a third party personal email account are technically a FERPA breach.

WHO IS AFFECTED BY THIS CHANGE?

This change impacts:

  • Faculty - Required to have an Office 365 mailbox, not eligible for External or Store-and-Forward
  • Student Workers - Required to have an Office 365 mailbox, not eligible for External or Store-and-Forward
  • Staff - Required to have an Office 365 mailbox, not eligible for External or Store-and-Forward
  • Affiliates - Required to have an Office 365 mailbox, not eligible for External or Store-and-Forward
  • Students (non-workers) - Required to have an Office 365 mailbox; eligible for Store-and-Forward
